We come back with a scope, timeline, and price

Within 24 hours of receiving your brief, we send back a one-page scope document. It describes exactly what we'll build, what we won't build, when it will be ready, and what it will cost. Fixed price. No hourly billing. No 'it depends'.

Kickoff call — we go through the details together

Once you've reviewed the scope, we have a short call to walk through it together. We ask clarifying questions about your workflow, confirm the edge cases, and make sure we've understood the process correctly. This is also the moment to adjust scope before work starts — much easier than after.

After the call, if any changes are needed, we update the scope document and resend. You approve, and work starts.

We build · 3–7 business days

Development — we build, you prepare the infrastructure

While we're building, there are two things to sort on your side. Neither requires technical knowledge — we guide you through both step by step.

01 · Domain
Register a domain name

Your tool will live at your own domain — for example, track.yourcompany.eu. You own it, nobody can take it from you.

Cost: €10–15/year. We recommend the registrar and help with setup.
02 · Hosting
Set up hosting

Your tool runs on a server you own and pay for directly. We recommend the best option for your use case and help you set it up. You give us temporary access to deploy.

Cost: €5–20/month depending on scale. You pay the provider directly.

We handle all technical configuration. You don't need to understand hosting — just create an account on the provider we recommend and share access. We do the rest.

05
You · 2–3 days

You test the tool and report what needs fixing

We deploy the tool to your server and hand it to you for testing. You use it as you would in real life — go through the actual process with your actual data. Anything that doesn't work as expected, you list and send back to us.

Us · final handover

We fix, finalise, and hand over

We action your feedback, re-deploy, and confirm everything works. Then we hand over the final package: source code, hosting access, and a plain-language user guide for your team.

Fully your tool

Source code, database, and all assets transferred to you at delivery. You own it outright — not a licence, not a subscription, not a rental.

Fully your hosting

The server is in your account. You pay the provider directly. We have no access after delivery unless you invite us back. No vendor dependency.

03
No subscriptions

After the one-time project fee, you pay only for the domain (€10–15/year) and hosting (€5–20/month). Nothing else. No platform fee, no per-user charge, no tier upgrade.

User guide included

Plain-language documentation for your team. How to do the most common tasks, how to add a new user, what to do if something breaks.

Can be extended later

If your business grows and the tool needs a new feature, we can scope and add it — same process, same fixed-price approach. Many clients come back for a second improvement 6 months later.

No SLA contract required

We don't require ongoing support contracts. If something breaks and you need help, contact us — we respond within 24 hours. We charge for time if needed. No retainer, no mandatory commitment.

Cost transparency

What does this actually cost?

The project fee depends entirely on scope — what we build, not how many hours it takes. Here are the three types of cost involved, so there are no surprises.

Project fee
Fixed, agreed upfront

One-time payment for design, development, testing, and deployment. Based on scope. Paid in two instalments: 50% on approval, 50% on delivery.

Domain name
€10–15 / year

You purchase and own the domain directly. Paid to the registrar (not to us) once a year at renewal. We recommend where to buy it.

Hosting
€5–20 / month

You pay the hosting provider directly. For most tools: €5–10/month on a standard VPS. We recommend the right size for your tool.

Optional recurring costs
Depends on scope

Some projects require third-party services to function. These are always identified during scoping — never a surprise after delivery.

SMS notifications
If the tool sends SMS to clients — e.g. "your order is ready" — you pay the SMS provider (Twilio, VonageAPI). Typically €0.05–0.10 per message.
Email delivery
High-volume transactional email via SendGrid, Mailgun, or similar. First 100 emails/day are typically free; paid tiers start at ~€10/month.
Payment processing
If the tool takes online payments via Stripe — per-transaction fee (~1.5–2.9% + €0.25) charged by Stripe, not by us.
Maps / geolocation
If the tool uses Google Maps or similar for routing. Google Maps API is free up to ~28,000 loads/month; paid above that.
⚠ All third-party service costs are listed in your scope document before you approve. Simple tools — job tracking, inventory, booking — typically have no third-party costs beyond hosting.
